Job Title: Executive Assistant to Finance Executive (CPA Preferred)

Location: Makati

Job Type: Full-time

Reports To: Finance Executive/Director/CEO

Job Summary:

We are seeking a highly organized and proactive Executive Assistant to support a senior finance executive. The ideal candidate will have a strong background in administrative support, financial acumen, and an understanding of accounting principles. Preference will be given to candidates with a CPA License. This role requires exceptional organizational skills, focusing on streamlining business operations and financial functions, attention to detail, and the ability to handle confidential financial matters with discretion.

Key Responsibilities:Administrative Support:
  • Handle correspondence, emails, and phone calls on behalf of the executive.
  • Prepare and organize documents, reports, and presentations for financial meetings.
  • Maintain an efficient filing system for financial and confidential records.
  • Provide high-level administrative support to the executive team (e.g., CEOs, CFOs, and partners) including scheduling, correspondence, and meeting coordination.
Financial Assistance:
  • Assist with financial data analysis, budgeting, and forecasting activities.
  • Assist with accounts payable/receivable, invoicing, payroll coordination, and financial recordkeeping.
  • Prepare financial reports, statements, and spreadsheets as needed.
  • Coordinate with accounting teams to track expenses, invoices, and payments.
  • Support tax preparation, audits, and compliance documentation.
  • Research and compile financial data for decision-making purposes
Operational & Project Management:
  • Manage special finance-related projects and initiatives as assigned.
  • Liaise with clients, vendors, and financial institutions as needed.
  • Ensure compliance with internal financial policies and industry regulations.
  • Assist in preparing board meeting materials and financial presentations.
  • Streamline business processes to enhance operational efficiency and profitability.
Confidentiality & Compliance:
  • Manage special projects, ensuring deadlines and financial constraints are met.
  • Track project expenses, monitor progress, and report on project status to executives.
  • Supervise junior staff, assisting with training and development.
  • Coordinate team meetings, ensuring agendas, minutes, and follow-up actions are in place.
Qualifications & Skills:Education & Experience:
  • Bachelor’s degree in Accounting, Finance, Business Administration, or related field.
  • CPA Preferred.
  • Preferred from one of the top three schools in the Philippines: University of the Philippines Diliman (UP Diliman), De La Salle University (La Salle), Ateneo de Manila University (ADMU).
  • 30-45 years old
  • 3-5+ years of experience in accounting, business operations, or a related field, preferably in an accounting or professional services firm, working directly with senior leadership (e.g., CEOs, CFOs, or Partners) in a fast-paced business environment.
  • Proven experience managing financial operations, project management, reporting, and analysis.
Technical Skills:
  • Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook).
  • Experience with financial software and ERP systems (e.g., QuickBooks, SAP, Oracle).
  • Familiarity with financial reporting and accounting principles.
Soft Skills:
  • Excellent organizational and multitasking abilities.
  • Strong verbal and written communication skills.
  • High level of professionalism, integrity, and discretion.
  • Ability to work independently and anticipate needs.
  • Problem-solving mindset and attention to detail.
  • A deep understanding of accounting principles, financial analysis, and reporting.
  • Ability to manage multiple tasks simultaneously while maintaining a high level of accuracy.
  • Precision in all aspects of financial reporting and administrative tasks.
  • Handling sensitive information with the utmost care and professionalism.
