ROLE SUMMARY

Our client is seeking a Client Coordinator to join their growing team. This role will be responsible for a variety of support tasks, such as managing a list of clients, scheduling, handling event logistics, and onboarding new clients. This role will also work closely with the founder in tracking leads, scheduling guest appearances, and research.


WORK SCHEDULE: 8:00 AM - 5:00 Pacific Standard Time (12:00 AM - 9:00 AM Philippine Standard Time), follows Philippine holidays


POSITION TYPE: Full Time


WORK ARRANGEMENT: Remote


ESSENTIAL FUNCTIONS:


  • Review calendar and client list with the founder to identify and manage all prep work, materials, logistics, travel plans, etc.
  • Review the list of clients to ensure that the company is scheduling them for regular meetings and calls (preferably one year out)
  • Schedule the founder for follow-up calls, meetings, and lead/sales conversations, and book him for speaking and guest appearances on shows and events
  • Send and manage client prep work before all sessions
  • Encode survey responses into the Mural whiteboard tool
  • Order or send all materials for in-person events
  • Create agenda timing from templates and outlines the founder creates
  • Review, edit, and send session notes to client attendees
  • Schedule any follow-up work that the founder needs to handle
  • Welcome and onboard new clients for any programs, schedule calls, collect documents, order assessments, and create summaries of assessment
  • Set up and welcome workshop registrants
  • Send follow-up materials and schedule calls after the events
  • Find and prepare assistants for in-person sessions to take notes and support the event
  • Remind clients to invoice the company and get them paid by the founder
  • Track leads in process and remind the founder about follow-up
  • Schedule guests on shows, interview them, prepare briefing notes from the template, and send them links after the show is released
  • Research and coordinate event logistics for our virtual and in-person events
  • Provide Zoom meeting support and manage breakout rooms and guests
  • Prepare and distribute session notes


QUALIFICATIONS:


  • A Bachelor’s degree in the related field
  • Experience in coordinating events, managing calendars, organizing tasks, arranging travel, and engaging with clients
  • Experience with Google and Apple apps, particularly spreadsheets
  • Experience with using the Mural whiteboard app would be an advantage
  • Able to manage shifting priorities and keep things on track
  • Experience in a multi-client environment
  • Strong organization, oral and written communication skills
  • Analytical skills with particular attention to detail
  • Aptitude in data management, analytics, reporting preparation
  • Ability to function in an autonomous environment—independent worker, self-directed
